There is no minimum order, however, the minimum freight (and handling) charge for any order within Australia will be $3.10 and $6.00 for New Zealand customers. 1.VITAL INFORMATION The following information is required for all orders whether placed by mail, fax, phone or email. (a) Your Account CODE (On each invoice - the first four letters of your surname or school and digits. eg JOHN009 for Johnson). (b)Your NAME or SCHOOL (eg: Mr & Mrs J. Johnson). (c) Your Delivery ADDRESS (eg: 123 Adelaide Street, YOURTOWN, QLD 4720). (d)Your PHONE NUMBER. (e) DATE of your order. (f) If applicable, provide special delivery instructions only (we ship the quickest and most economical way). (g) Payment details 2. PAYMENT DETAILS Company policy is payment with orders. If order is unpaid, it will be held until full payment is made. Home School Family Registration due is to be paid prior to the release of an order. • Credit Card Please complete your Credit Card Number and Expiry Date on the order forms. We require a written signature for you to use credit card facilities. Credit Cards are processed the day the order is checked after printing. Please request a Credit Card Authority form if you anticipate either making a phone or email order. (Fax orders can be signed to give correct authority). • Cheque or Money Order Post with your order. Money orders and cheques are banked the day they are received. Cheques and Money orders are to be made out to SOUTHERN CROSS EDUCATIONAL ENTERPRISES. 3. PRODUCT INFORMATION Please direct any queries, regarding what to order, to the organisation in which your students are enrolled BEFORE ordering. All OUR Products are now listed on the SCEE order forms. A product catalogue and a subject ‘Scope and Sequence’ are issued at enrolment or on request and also can be downloaded or viewed by the Web : www.scee.edu.au You should always consult your “prescription advice” and note carefully which PACEs and keys you already have in stock before ordering as restocking fees apply where product is ordered and returned. 4.ORDER TURN AROUND TIMES We need your assistance to speed everyone’s order processing. Please use the SCEE order forms then either POST, EMAIL or FAX your order. This is requested in order to reduce error rates or order queries and lessen staff time spent on phone calls instead of processing orders. Guideline - Generally orders are processed in two to three working days but during our busier times longer delays can be experienced. Orders are handled in half day batches, checking of accounts, processing of payment, entering, printing and checking, “pulling” from the shelf and dispatch for any given batch will occur over a few days. To minimise delays - ensure your account and registration are up to date and payment is included with your order. January to June are our busier months and a week’s worth of orders can be in the trays waiting for processing when we receive your order. While we dispatch all customer orders as quickly as possible, to avoid disappointment please send your order, at the latest, before your students begin their last PACEs. In fairness our policy is to process orders in the order they are received. Disruptions to processes occur, eg June stocktake, unpacking of shipping containers or staff leave. 6 DUPLICATE ORDERS - It is vital that we receive only ONE copy of any order. DO NOT SEND TWO OR MORE COPIES. If your fax or email is disrupted - write a cover note with the following attempts. Customers are responsible for the additional freight charged where two copies of an order are received and dispatched. If an order is lost and you have to resend it, please advise the office by phone or by fax and write on it “An attempt was made to send this order previously, do not duplicate - this is a copy/2nd attempt, the original appears to have gone astray.” Please include full payment with each order. If mailing payment for an order do include your customer code / surname and address but not a copy of the original order. 5.ORDER FORMS (used in conjunction with Product Catalogue) Please complete the detail requested on each page on which you order items. (a)Product catalogues are issued at enrolment or on request, and can be downloaded from the Web. (b) Customers are requested to submit orders on our current SCEE order forms as supplied. This is to assist with error reduction and smooth processing of customer orders. Refer to the product catalogue where necessary. If you have not ordered for over 12 months, please request a set of the current SCEE order forms. (c)Make sure that the totals for each Page that have order amounts are written in their appropiate Page allocation on the front cover as this will ensure we have all pages of your order. (d)When ordering two or more of an item do not use notation (eg. III for 3) but rather the actual number (eg. 3). (e)Keep a copy of the order that you have placed with us. When you receive your order you should carefully check it off against the enclosed invoice. Discrepancies should be reported to the Office immediately (see (f) below). (f)Shipping Adjustment Form: Claims - Errors See Claims. 6.MAIL ORDERS RED PEN is clearest. Mail orders are our first preference for the Orders Department to minimise order turn around time and reduce errors. Please ensure a clean, readable order form is submitted that lists current product and requires minimum deciphering. 7.FAX ORDERS BLACK PEN is clearest. Hints - please take care - faxed orders can be illegible, smudged, missing pages or unidentifiable. Always send the order cover sheet first. DO NOT fax creased or folded pages. Use the SCEE order forms supplied. Please circle the page numbers (bottom right of cover sheet) that we should expect to receive. Make sure that the totals for each Page that have order amounts are written in their appropiate Page allocation on the front cover as this will ensure we have all pages for your order. When faxing It is imperative that you complete your current phone and fax details as we may need to contact you. It is best to complete your account details on every page as your faxed pages may not all come through together. If you are worried your fax hasn’t all gone through – PLEASE CONTACT THE OFFICE. 8.E-MAIL ORDERS Email ordering is not available where payment is to be posted. Post the order with the cheque. Please call the SCEE orders department and they will email you a SCEE Order Form or login into the SCEE website (www. scee.edu.au) to load your relevant SCEE Order Form. We are now using these order forms in place of the old email ones, To avoid receiving two of the same order avoid sending the same email twice. 7 ADMINISTRATION METHODS OF ORDERING METHODS OF ORDERING ADMINISTRATION For Schools Only - This Page - FAST TRACK ORDERING SYSTEM FOR URGENT ITEMS SCEE recognises that, from time to time, most schools will need to place an urgent PACE order. These circumstances usually mean that the PACEs must be obtained as quickly as possible. In order to address this need more efficiently, SCEE is now offering a FAST TRACK Ordering System for urgent items. The following conditions will apply to this system. Australian Schools The service is limited to 5 PACEs or 500 grams per order (allowing us to use an Australia Post Air Service not exceeding 500 grams). If an order exceeds 500 grams, it will be split into two satchels, or a larger satchel is used (whichever is the lower cost for the school). Fast track orders will automatically be sent by Express Courier. Overseas Schools (Fiji, Indonesia, New Zealand, PNG*, Solomon Islands, Vanuatu) The service is limited to 5 PACEs or 500 grams per order. TNT Air international or Express Courier International will be used automatically. Orders above 500 grams may incur an extra cost based on the final weight of the item. The full cost of the freight and associated import charges must be borne by the school. Current information indicates a freight charge of AU$20.00 for NZ and $38.00 elsewhere for this service (Price subject to change). 1. The service is limited to urgently needed items e.g. PACEs or a required reader only (Non-essentials such as flags or forms will not qualify). 2. A non-refundable $1.00 “Fast-track Fee” would apply for each item in the order (i.e. 1 PACE, $1.00, 5 PACEs - $5.00) Freight charges will be in addition to the Fast-track Fee. 3. Cut-off times. A fast-track order must be received at the SCEE office by 12 noon in order to be processed for shipment the next working day. Every reasonable effort will be made to ensure the order is dispatched on the next working day. 4. Order placement must be by Fax or Phone only. E-mail will not qualify unless sent to [email protected] and accompanied by a phone call. 5. Delivery times are outside SCEE’s control once the order has been dispatched and therefore cannot be guaranteed. 6. Fast track orders will not be subject to the normal quality control processes. (For example, such orders received by phone may be entered directly into the accounting system at the time of the call - thus eliminating paperwork). For orders lodged by phone, the caller accepts responsibility to correctly convey information to the staff member at the time of the call. 7. Any school account which has an overdue balance or is over its pre-determined credit limit may not avail itself of this service until the account is brought back within the normal trading terms. 8. A special Fast-track order form will be used for those schools choosing to fax their order. The Fast Track Fee as well as the freight charge (pre-printed) must be added to the cost of the PACEs. 9. This arrangement is subject to review at any time. Although every effort will be made to dispatch the order as quickly as possible, SCEE cannot offer any guarantee about delivery time. All freight charges and fees are non-refundable. *PNG schools must provide a valid Credit Card number or have available credit in their account to cover the full cost of the order freight and fee. 8 ADMINISTRATION METHODS OF ORDERING 9.PHONE ORDERS - Repeat PACEs Small orders of NO MORE THAN TEN ITEMS may be placed by phone if paying by credit card or account credit. We need your assistance to speed everyone’s order processing. Where possible we ask that you fax, mail or email orders. This is requested in order to reduce error rates and lessen staff time spent on phone calls instead of processing orders. (a) PRIOR TO CALLING; prepare your order, look up item numbers, locate your account code, check you are not ordering PACEs you have already and have your credit card ready. Your school’s academic staff are available to help you if you are uncertain about which course to order or if you are unclear about the sequence of the PACEs on the order forms. Please do check prior to ordering to ensure that you receive exactly what you require for your children. (b) The person recording your order will first request your account code and is required by company policy to verify your address details and check your account with the computer records. (c) Order items in the same way that they are listed on the order form. Starting with Mathematics PACEs and then to the Math Score Keys. Each subject will have it’s own score keys below the subject’s PACE. If you are ordering for two or more children, combine their orders by subject. 10.PICK-UP ORDERS Orders to be picked up in person from reception: see office hours, holidays, stocktake. Families who live in the vicinity of the Warehouse and would rather pick-up their order than have it delivered should write “PICK-UP” in the delivery address. Customers choosing this method must allow 48 hours minimum, 2 full working days, for processing of their order. Our policy is to process orders in the order they are received so as not to disadvantage any customers; see “order turn around times”. Disruptions to processes do occur (eg June stocktake and unpacking of shipping containers). Please phone and check before leaving to pick up your order. 11.BACK ORDERS Should an item ordered be listed as “out of stock” on your invoice, it will be back ordered for you. When the item comes back into stock, we will send it out to you freight free. DO NOT reorder out of stock items as you will most likely end up with a duplication of the product and charges. 12.ORDER DELAYS Order delays may be experienced, refer to office hours, stocktake and holidays. See also order turn around times and vital information. VISIT OUR WEBSITE www.scee.edu.au 9 ADMINISTRATION FREIGHT INFORMATION 1. 2. All consignments and orders are dispatched using the most efficient and cost effective method. Customers are advised to clearly mark their street address (package delivery address) on their order form. Couriers require a street address to make deliveries. If your delivery address involves use of a Post Office Box; R.M.B. (Roadside Mail Bag), M.S. (Mail Service) etc., we must use Australia Post. Please remember to advise the office of any change of delivery address as soon as possible and complete the change of address details on your next order. If you have special delivery instructions, you must clearly mark these on your order form. All freight and handling charges are payable by the customer. Where it has been established that the office has made an error (i.e. goods not dispatched according to customer order, damaged items, etc.) OR an item is placed on back order, freight charges are not payable by the customer. SCEE will not split orders in order to bring them under a certain value. (Customers may submit separate orders which will be subject to two lots of freight charges). All customers should receive a freight charge chart (FPI) with their order forms. A new set of order forms is sent each time an order is dispatched. 3. 4. 5. 6. 7. 8. OVERSEAS ORDERS Overseas customers are advised that LOCAL IMPORT DUTY and TAXES may be applicable to goods shipped from Australia (eg. Goods & Services Tax in New Zealand and VAT in Papua New Guinea). These charges must be paid prior to the release of the goods in question. Important: Please read carefully DELIVERY INSTRUCTIONS ARE THE RESPONSIBILITY OF CUSTOMER In the absence of these instructions, we will use TNT Air Courier for INTERNATIONAL consignments and Australia Post for DOMESTIC consignments as a rule. TNT is generally quicker and more reliable than the Post Office for overseas deliveries. However, there are certain advantages and disadvantages with both services. TNT offers a tracking service which is not provided by the Post Office. The delivery time tends to be considerably shorter than the Post Office. Most deliveries are door to door. However, in certain cases TNT costs more than the Post Office Air Mail service. Also, in certain countries, additional charges may be levied on top of Import duties, VAT, GST, and taxes. These may involve “Administration charges” or Storage fees in cases where TNT has needed to store a consignment on behalf of the customer. It is therefore in the client’s interest to obtain this information prior to placing an order with SCEE and advising us what method of delivery you would prefer. Australia Post is preferable to TNT for some countries because of Customs clearance procedures. The responsibility for obtaining information about import duties and taxes is the Customer’s not SCEE’s. Overseas customers should be aware that import duties and fees may be levied by Customs Authorities based on the declared value of goods in a consignment. Our goods are described as “EDUCATIONAL MATERIAL – NOT FOR RESALE”. However, we cannot say they have “NO COMMERICAL VALUE” as a financial transaction has taken place between us as the supplier and you as the customer. Our invoices will list two amounts. One will be the total value of the order including freight. The other total will be a comment in the body of the Invoice: VALUE OF GOODS EXCLUDING FREIGHT IS $.......... This second value is purely the value of goods without freight. Depending on the country of destination and sometimes even the local official involved, duties and taxes may be payable by you as the recipient and importer of the goods. SCEE cannot guarantee that no taxes or duties will be payable by the client irrespective of the carrier. If you are uncertain about the cost of a particular delivery service, you can contact SCEE for a quote. However, this quote will not include any of the charges mentioned above. 10 ADMINISTRATION FREIGHT INFORMATION Important: Please read carefully Delivery of Overseas consignments With overseas deliveries it is vitally important that the addressee provide us with a current & complete street address plus contact telephone number and other details (ie e-mail address). International couriers will only hold goods for a few days before returning them to the sender. Should this occur because it has been established that the client has not provided sufficient contact details to SCEE on their order, then return freight charges will become the liability of the customer. Should you be away from your place of residence (eg travelling) during a time when the courier is attempting to deliver goods, it is your responsibility to advise SCEE and to provide some other means by which to collect goods. FREIGHT OPTIONS These are the services currently offered Within Australia Australia Post and E-Parcel Express Courier PNG TNT (Special Cargo Rate); Sea Freight -conditions apply (see note re sea freight) New Zealand Fiji TNT Global Express Solomon & Vanuatu Cook Islands TNT Global Express Sea Freight -conditions apply (see note re sea freight) Nauru Indonesia Australia Post or TNT TNT Global Express TNT Economy Express for consignments in excess of 45kg TNT Air Cargo (only available for goods going to Nadi Airport. This is a door to airport service only); Sea Freight -conditions apply (see note re sea freight) TNT Global Express TNT Economy Express (Consignment must be in excess of 30kgs) via Singapore TNT Group Economy (Where schools consolidate their orders into a single consignment which is sent to a nominated freight forwarder in Singapore) **Consignments shipped directly to Indonesia from Australia, require an import license if they exceed 100kg in weight. SCEE has sought to obtain the best possible delivery system taking into account, cost, speed, reliability and tracking ability. Australia Post Air Mail is available as an alternative for all regions. However, transit times are generally longer and the service less reliable and no tracking service available. SEA FREIGHT Sea Freight is only economical for orders above a certain weight. For goods being sent to most South Pacific destinations including Indonesia and Singapore, your order will need to be above 40kgs before it even starts to become cheaper than air freight. For example, sending 40kgs will cost approximately the same by sea freight or air freight. This is because of all the administration charges applied to sea freight consignments in addition to cost of actual freight. Sea freight is a good option for larger orders where transit times are not crucial. SCEE uses Vanguard Logistics for sea freight consignments. Please contact the SCEE Office for a quote if you are interested in this option. 11 ADMINISTRATION CUSTOMER SERVICE RETURNS 1. SCEE accepts returns from customers for materials purchased strictly within the last 12 months. Materials must be returned in saleable condition, unmarked, unstamped, with no sign of shelf wear. (a)A 20% RESTOCKING FEE will be charged for each return with an ex GST value less than $100.00. A 15% restocking fee applies to goods returned with a value over $100.00 ex GST. (b) OVERSEAS: Consider the costs of restocking and freight against the value of goods being returned. (c) NOT ACCEPTABLE FOR CREDIT ARE: SCORE KEYS, out of date (IE PACEs & Keys from an earlier edition) items, cassette tapes, videos, disks, CD’s (computer software including web-based products) training materials, printed forms and individual components of sets or kits. Note: If a PACE Test is removed, or detached from the PACE this is non-returnable. (d) See Video Rental Policy for information concerning the return of rental videos. 2. PROCEDURE (a) Find the invoice #, complete a Claim/Return form (located on the back of the order form) and send to SCEE. (b) Properly wrap, tie, and tape the carton. Newspapers should not be used for packing materials as it smears the PACEs. Avoid clips and squeezing lots into small envelopes. Damaged goods may be refused for credit. (c) Credit will be applied to the customer’s account. When next ordering, check your account credit / balance with SCEE and deduct any credit from your order payment. CLAIMS - Order Discrepancies We take great care in filling, checking, and packing your order. Unfortunately errors can and do occur. We will endeavour to rectify errors as a matter of priority. Any errors in your order should be recorded on the Shipping Adjustment Claim form and returned to the SCEE Office. The Shipment Adjustment Claim form must accompany any queries concerning an order. 1. INVOICE - Verify with your copy of the order upon receipt. Please check your invoice and order carefully. If there is a problem return this completed form to us within 20 days, 30 days for overseas customers. Claims must be filed within this period of time. NO ADJUSTMENTS CAN BE MADE AFTER 20 DAYS. 2. MISSING / INCORRECT ITEMS - Any errors in your order should be reported immediately to the SCEE office [email protected]. au then complete a Shipment Adjustment Claim form (attached to the back of order forms) and post the forms to SCEE. Enclose the incorrect material items (if applicable). **** Overseas customers MUST contact SCEE before returning any curriculum, [email protected] It is vitally important that the adjustment claim has ALL the details relating to your claim; especially the complete information from the reference line on the invoice, the invoice number and your customer code. Do not send a new order in the same envelope as return items. Crediting of returns does not follow the same time line as order processing. 3. ACCOUNT CREDITS·- Providing the error was a handling error (SCEE) and not an ordering error (you), write the cost of postage to return the items on the claim form before sealing the envelope. Where SCEE can establish an order error by SCEE, a refund of the postage amount can be credited to the customers account. 4. DEFECTIVE MATERIALS - Items will be replaced at no charge. Complete a Shipping Adjustment Claim form (located on the back of the order form) identifying the materials and type of defect. Send the form and the materials to SCEE. Your account will be credited for postage incurred in returning the materials. Indicate on the form whether you would like to have the materials replaced or credited to your account. 5. LOST SHIPMENT - If the shipment has been lost or shipped to the wrong location, the customer should contact the Despatch Department. If you have not received the correct number of boxes, wait two or three days and then call the Despatch Department. Multi-part consignments can become separated. Do not sign a delivery docket where the total number of boxes delivered does not correspond with the number of boxes indicated on the delivery docket. 6. DAMAGED SHIPMENT - Contact the SCEE office immediately. 7. DAMAGED MATERIALS - (determined AFTER opening shipment). Materials that have been altered or damaged by the customer cannot be accepted for credit. (Spanish 8 weeks) All rental videos will initially be invoiced to the customer at full retail price. (Rental Fee and Deposit) If you are paying by credit card or cheque, you need only include an amount covering the actual hire cost of the video (see below). 3. If a video is returned to the SCEE. office within 6 weeks of the date of the invoice, the customer’s account will be given a credit for the deposit. eg: Biology 1097 (2 parts): $60.00. If videos are returned within a 6 week rental period, a credit of $50.00 (the deposit) will be given ($10.00 being the rental fee for a 6 week period). 4. Additional Fees. If a video is returned beyond the 6 week period, the customer will incur a further fee of $2.00 for each fortnight the videos are held beyond the initial 6 week rental period. E.G. Biology 1097 (2 parts): invoiced initially at $60.00 (Customer pays $10.00 with order) Videos returned within 6 weeks after date of invoice: Credit $50:00 Videos returned 8 weeks after date of invoice: Credit: $48.00 (Rental fee $10.00 + $2.00) Videos returned 10 weeks after date of invoice: Credit $46.00 (Rental fee $10.00 + $4.00) 5. If the videos are not returned within 90 days, it will be assumed the customer has decided to retain the videos. The full retail price is thus payable. 6. Note: The customer’s responsibility is to return the rental video to the SCEE Office within the 6 week rental period if further fees are to be avoided. 7. Each video will carry a copy of the SCEE Video Rental Policy 8. A RENTAL SLIP will be included with each video being hired. This MUST be returned with the video. Failure to return the slip may result in no credit being given for the return. Each Rental Slip contains your customer Code and hiring dates. 9. Freight: All freight charges are payable by the customer. 10. Damaged or lost videos: (a) If a customer receives a faulty or damaged video, notification must be given to SCEE as soon as possible after receiving the video. A new video will be issued and the loan period will be deemed to have commenced with the despatch of the replacement video. (b) Damaged or faulty videos returned to SCEE without notification will be invoiced at full retail price to the customer. (c) Videos lost by the customer will be invoiced at full retail price to the customer. 11. Copyright: The customer shall not under any circumstances make a copy or copies of any videos on loan to the customer. 12. Rewinding Videos: The customer will be expected to rewind all video tapes before returning them to the SCEE Office.
