Cut them out and print copies for your athletes. 1 Dear Members: The coming year is set to be a magnificent one, as participation in the sport continues to soar. USRowing membership grew by 30 percent in 2015, and this growth should be even stronger in 2016. The 2016 Olympic Games in Rio will showcase America’s top rowers and bring the nation’s attention to our sport in numerous ways. We are excited by the new partnerships we developed in 2015 and the opportunities they afforded us to bring rowing to middle schools, veterans and diverse communities across the country. Our championship events continue to flourish as competitive destinations for teams from coast to coast. Rowing is growing, and we are happy to have you as part of the team! This packet outlines the details of the 2016 USRowing Membership and Insurance Program. The basic structures of the sport are the unseen forces behind the strength of our association – rules, safety and education. The insurance services offered to our members by Roehrs and Company Inc., and Philadelphia Insurance support hosting regattas and running local club activities. The use of USRowing referees and the Rules of Rowing are a fundamental part of managing risk at events. The 2016 organizational renewal form asks each club to name two volunteers to become referees. It is an important and valuable way to give back to the sport we all love. As participation grows, our event base must do the same, and referees remain at the heart of this growth. Our commitment to safety continues with the USRowing PFD program aimed at coaches, coxswains and officials. The Mustang discount program provides preferred pricing to our members for float suits and inflatable PFDs. We also continue to provide online access to the safety instruction video, SafeSport and the PASS program, a unique tool for clubs to assess their risks and strengths. Finally, the Kippy Liddle Safety program provides deep discounts on kits that provide your coaching launches with the right items to respond to emergencies. In 2016, USRowing’s partnership with RegattaCentral will be amplified to provide an integrated member experience that will promote an easy-to-use interface for USRowing membership and regatta registrations. Roster management, waiver compliance and entries will have never been more streamlined. USRowing has worked diligently during the past 18 months to turn our sport toward the future. Regatta Pass $175 Umbrella $375 0 Members $575 This special rate provides membership to an organization that competes in only one regatta for the year - typically alumni boats that come together for one event. This organization can have a maximum of 18 members. Parent organization pays tier-level price, which covers parent organization and its subsidiaries. Each sub-club pays $375 to USRowing and receives full liability coverage, has its own roster and the right to race under its chosen name. Organization has zero members rowing under the registered name. Typically created for the purpose of fundraising, or hosting a registered regatta. 3 USRowing continues to partner with the United States Olympic Committee in the SafeSport campaign. Are we still covered? Yes. Miscellaneous special events and activities that involve groups other than your members (or USRowing members) are included automatically with your membership subject to underwriting review. Please alert USRowing to any events you intend to host that require specific insurance coverage such as liquor, camps, etc. Why would my organization need to purchase a $375 membership with USRowing if our organization already has insurance elsewhere? The benefit of this Organizational membership level is to provide the opportunity to attend USRowing sanctioned regattas. Many regattas are choosing to become sanctioned events with USRowing for the specific event insurance coverage they receive, as well as the commitment of holding a fair and safe regatta. There are many benefits your organization is eligible for as a USRowing organization. Please visit http://usrow.us/joinUSR to learn more. Our member organization also operates a canoe facility. Would its operations be covered under USRowing’s insurance policy? More communities are expecting boathouses to be multi-purpose waterfront venues that serve a larger base. New for 2016, USRowing will offer multi-watersport coverage options for organizational members. Coverage will include canoes, kayaks, and standup boards for an additional fee of $350 for clubs in our insurance program. We are still unable to cover exposure for dragon boats. Please contact USRowing at 1-800-314-4769 for more information on this coverage. What about other coverage that is not provided for my organization through USRowing? Information for directors and officers, automobile, property and rowing equipment insurance is included in this brochure and through the risk management website at www.roehrs.com. If your club is responsible for the coverage on the boathouse structure or for a vehicle, you should contact Roehrs & Company, Inc., at 1-888-467-3557 for a competitive quote. Is the sale of alcohol by our organization covered? The SALE of alcohol is not covered, but host liquor liability is included in the coverage and that covers you for fundraisers, banquets, etc., where you may SERVE alcohol as part of the function. If your organization is in the business of selling alcohol, you need to purchase coverage for this risk. Please refer to www.roehrs.com for a Liquor Liability application. Will my member organization be covered if I race in an international event? Your USRowing coverage is valid only in the United States, Canada and Puerto Rico. If you are attending an event outside these territories, you will need to contact Roehrs & Company about purchasing foreign liability coverage. Do all my members need to sign an ELECTRONIC waiver? Signing a waiver electronically is not required, but it is the most effective way to ensure USRowing has a record on file. Keeping paper records at the boathouse is acceptable but discouraged, since USRowing has no accurate way of confirming these members have signed a waiver. If you’ve signed a USRowing paper waiver, please send a copy of the waiver to USRowing, and it will be noted in your membership profile. What is SafeSport and what does it mean for our organization? We ask that all of our member organizations join us in the SafeSport campaign to protect athletes across the country. All USRowing member organizations must adopt an athlete safety program. While the primary focus is to safeguard children, policies should extend to all age groups including masters and college level. If your organization already has a policy in place, great! As long as it meets the minimum components, your current policy may be used. Champ status gives a rower the best chance at success from a membership standpoint, providing national competition eligibility, discounts and educational resources. Basic Membership $5.75 Admin Fee Create a basic account and complete a waiver to become eligible to compete in USRowing registered (NOT hosted) regattas for a member organization. Basic members must complete this process prior to their first race (including indoor events). International Membership $75 Individuals who live AND ROW outside the United States are eligible. Those rowing for a U.S. organization do not need an Internatioal Memberhsip. Note: At USRowing-hosted events, international rowers need only basic memberships, as long as they belong to their native country’s governing body of rowing. Outreach Membership $10 USRowing offers high school athletes who demonstrate economic need an opportunity to become Champ Members at a reduced fee. Athletes must meet one of the following criteria: • Enrolled in the Federal Food Stamp Program • Entered in a National School Free Lunch Program • Meet Federal Poverty Guidelines Applications may be submitted directly to USRowing by the member organization. Does my liability coverage apply? Your USRowing coverage applies in the United States, Canada and Puerto Rico. If you are traveling outside of those territories and are in need of foreign liability coverage, please contact 1-888-467-3557. If you are traveling outside of the United States as part of a USRowing member organization, your organization can receive liability coverage for a premium of $400 per trip. Please contact 1-888-467-3557 for more information. What if I have multiple member numbers associated with my name? Which do I renew? You may have multiple numbers associated with your name. If you are unsure which to renew, check with your coach to see which number he/she has stored in your RegattaCentral profile. Our improved roster feature within the USRowing membership portal now allows coaches to merge multiple member accounts within their roster, provided that they have identical profile information. If your coach doesn’t use RegattaCentral, you can renew whichever basic membership you choose. Note: If you have a championship membership number, you should sign your wavier under that number and NOT obtain a new basic membership number. Can I update my profile on the USRowing website or do I need to contact USRowing? You have the ability to update your profile online at: http://usrow.us/joinUSR What are the benefits of being an individual member? A championship membership will allow you to become a student of the sport, at any level, and give you eligibility to compete at more high profile events as you improve. You will receive numerous member benefits including the ability to participate in all USRowing-hosted events, USRowing conventions, and other USRowing-owned regional events. Basic membership allows you to sign an online waiver, gives you access to USRowing’s monthly e-newsletter, and compete at registered regattas. The entire list of benefits for both types of membership can be found at: http://usrow.us/USRbenefits Do I have to be a member of USRowing to row in any regatta in the U.S.? USRowing’s basic membership allows you to race as part of a member organization at any registered regatta. If you are racing unaffiliated at a registered regatta, all members of the boat must be championship members of USRowing. The only regattas that require championship membership for all individuals are events that are hosted by USRowing. A list of those events can be found at www.usrowing.org/Events.aspx. Can I cancel my membership if I am no longer rowing? While your membership can be canceled at any time, we will only refund money within the first 30 days of purchase, provided that you have not raced at any regattas under that member number. Can I renew my old member number if time has elapsed between renewals? Yes, in most cases. At this time we do not discard old numbers. If you are interested in renewing an old number, please contact membership at 1-800-314-4769, and we will assist you in resurrecting your old number. When should I renew my individual membership? Basic memberships and championship memberships expire one year from when you join or renew. It is recommended that you renew before your expiration date to ensure that your membership benfits do not lapse. USRowing requires an individual membership, but I have an organizational membership. Does that count as the same thing? No. If you are rowing at a USRowing-hosted event, you must have a championship membership. A list of those events can be found online. If you are rowing at a USRowing registered regatta, you need to have at least a basic membership to participate. However, if you are rowing at a hosted event as “Unaffiliated,” you must have a championship membership. 8 made - E asy usrowing roster portal 1) Administrators, coaches, and directors begin roster management by visiting: http://membership.usrowing.org > Rosters.usrowing.org has been replaced with this full-featured portal. Visitors will be redirected. 2) Login to your org account with RegattaCentral username and password or click “Join” to begin a new organization. USRowing Organization # 12345 Princeton, NJ US Tier # |Cost| 3) As an organization manager, renew your membership, manage your account, and manage your roster. 4) Archive former crew members, delete nonmembers, add new athletes, and now, merge duplicate accounts! 2016 brings major technological improvements! Admins will soon gain the ability to designate roles for other users within their org account! The Merge Function Improvements to the merge function ensure easy merges Merge two member accounts, Fname, Lname, DOB, Gender, Email must be IDENTICAL Ex: (Pat and Patty=no merge) FAQs: Why do some athletes have duplicate records? 1. An athlete didn’t affiliate with the club and therefore is not on the roster. To remedy, he/she created a new account. 2. An athlete forgets his/her member number or password, has trouble logging in and creates a new account. Where do I get my admin or athlete code? These codes are emailed to you throughout the year. Please update your organizational profile if you are not receiving these emails or contact [email protected]. Use the Re-MEMBER cards in this brochure to store your codes! An athlete says he/she completed the waiver but it does not appear on my roster. Why? Athletes must affiliate with your organization in their account using your club code (first 5 characters of your admin code). An athlete may have signed the waiver, but if he/she has not affiliated, he/she will not be on the roster. 9 Admin Made Easy A dmin - Admin Made Easy A dmin - made - E asy waiver & account management Athletes and parents often update their membership profiles. To ensure changes are easy to make and easy for coaches to interpret when viewing the roster portal, review the following: If an athete is not on your roster, he/she may not have been affiliated with your organization. With your club code, he/she can do this successfully. The Member ID is an essential piece of information for any member. It allows the member to log in and update, renew or upgrade the account. Many times, if users report their password reset email was not received, they have since changed their email address from that which was entered at the time the account was created. Smith Doe James Jane The roster portal will show a coach if waivers have been signed. A green checkmark indicates a valid waiver. If checkmarks are missing, athletes must complete their waiver in order to compete. Please note: At the end of the process, athletes will be asked if they plan to compete in a national team selection event this year. This includes national selection regattas and national team trials. For most, this answer is “no.” If “yes”, the athlete will be prompted to view the US Anti-Doping video and questionnaire. The 2016 Registered Regatta Program offers regatta organizers unprecedented “no additional cost” liability benefits for the regatta and its participants. Requirements • The host organization must be a current USRowing organizational member. • All attending organizations must be current organizational members. • All unaffiliated rowers must have a championship membership. • All competitors must be a basic member and have a current signed waiver. • Sanctioning fees must be paid in full, one month prior to the event. • If the regatta is not using RegattaCentral’s services, a list of attending crews must be submitted to USRowing when the first entry deadline passes and updated when late entries are completed. • The Chief Referee must be fully licensed and have a current championship membership. • Any exceptions or amendments to USRowing rules must be submitted to USRowing. 11 *Note: Dual and tri events are covered under your USRowing Insurance and do not need to be registered. However, all attending organizations must be organizational members of USRowing. Registered Regatta Program R egistered R egatta Registered Regatta FAQs If I choose to use different event insurance other than USRowing insurance, how can I still use USRowing referees? If you prefer to use different insurance coverage for your registered regatta, you may do so with the option to register your regatta for $100. With this option, you may register your event while still getting access to USRowing referees. Be sure to fill out the registered regatta application if you anticipate using outside insurance. What if we would like to purchase additional coverage for our registered regatta or our registered regatta committee? Contact Roehrs & Company Inc., at 1-888-467-3557. Also, you can refer to the directors and officers, crime insurance, hired/non-owned auto physical damage and rowing equipment coverage sections of this brochure. If we are running a non-registered regatta, can we still purchase the USRowing coverage? The coverage is only for USRowing registered regattas. It is not available to non-registered regattas, as USRowing cannot sanction or “vouch for” the safety at those events. Registered Regatta Program What if our organization is hosting a dual or tri-meet regatta? Do we need to register the event? If the organizations involved with the dual or tri-meet regatta are current member organizations, there is no need to register the regatta. The activities will be covered under your club’s insurance policy. Why did USRowing opt for $1,000,000 primary and $1,000,000 excess coverage per incident for registered regattas? Isn’t $1,000,000 sufficient? Many registered regattas must carry $2,000,000 per occurrence coverage due to the requirements of their host regions or other constraints. For example, some cities or municipalities require a $2,000,000 per occurrence limit. Some regattas may have other affiliations through which they can access this additional coverage at no cost. However, for the majority of regattas, the cost of obtaining the additional $1,000,000 is quite high compared to the cost to USRowing to provide it as a registered regatta benefit. Is the sale of alcohol at our registered regatta covered? No. The SALE of alcohol is not covered under insurance. However, Host Liquor Liability is included in the coverage, and that covers you for fundraisers, banquets, etc., where you may serve alcohol as part of the function. If your organization is in the business of selling alcohol, you need to purchase coverage for this risk. Please refer to www.roehrs.com for a Liquor Liability application. Does the insurance provide coverage for our registered regatta committee? Yes. If the committee qualifies as a registered regatta committee or member organization in good standing with USRowing, the policy provides liability coverage for their activities related to the organization and operation of the registered regatta. These include planning meetings, banquets, event set-up, regatta operations, event tear-down, and award banquets. A Directors and Officers policy may be purchased separately if you need or want that type of coverage. What about registered regatta competitors? Are they covered during registered regatta events? Yes. If the regatta meets the requirements for registered regatta designation by USRowing and all release of liability forms have been signed electronically, or verified, then all rowers, coxswains, coaches, referees, club members and USRowing individual members receive liability and excess accident medical benefits (subject to terms and exclusions) for covered event activities. Volunteers (while acting on your behalf) and other individuals approved as participants also receive liability coverage (subject to terms and exclusions) for approved activities. Can our additional insureds be added? At what cost? Yes. You can request a certificate of insurance by visiting http://usrow.us/RequestRoehrsCert or call 888-467-3557. There is no charge for requesting an Additional Insured Certificate. Can we get insurance under the registered regatta program for canoe and kayak racing? Regattas that also offer canoe and kayak competition should contact USRowing member services at 800-314-4ROW (4769) or [email protected] to discuss opportunities to ensure coverage under the registered regatta program. 12 I nsurance The benefits and conditions outlined below apply to most paid membership categories. Whether you are an organizational member, a registered regatta or a championship member of USRowing, you are covered by the same insurance program with some differences noted below. If property damage is involved, take pictures of the damage if possible. Protect the property from further damage (save any receipts if expenses are incurred to do so). Do not admit liability. Obtain contact information for any other involved parties. Get names and phone numbers of any witnesses. Report to the police if a crime has been committed (like theft). If you’re not sure if you have a claim, consult your agent to discuss the incident in detail. 13 USRowing Insurance Information 2016 program Automobile Checklist Choose your scenario and follow the instructions for ensuring proper coverage Borrowing a truck I am borrowing my neighbor’s vehicle to tow our trailer to a regatta. The neighbor’s personal insurance coverage would be primary, and USRowing auto liability would be secondary (or excess over the owner’s coverage). Unfortunately, you cannot cover this vehicle under your USRowing liability or physical damage coverage. Renting a truck USRowing Insurance Information I am renting a vehicle from our local rental car company. Your Hired/Non-Owned Auto Liability coverage would apply. You do not need to notify anyone that you’ve rented a vehicle. The coverage is automatic for liability. Check with your rental company to see if they can offer physical damage coverage for the vehicle. If YES, find out the cost per day and the deductible should you get into an accident. If NO, call Roehrs & Company at 888-467-3557 and request an application for Hired Physical Damage coverage (or use the form in the back of this brochure). The cost is $152 for a limit of $30,000 or $227 for a limit of $50,000 for the period of 12/31/2015-12/31/2016. Pulling an owned trailer with a friend or coach’s truck I am pulling a club trailer with a friend or coach’s truck. Unfortunately, the friend/coach’s insurance would be primary. The USRowing coverage would be excess over the coach’s coverage and physical damage coverage is not available for this vehicle. Be sure there is physical damage coverage for your trailer under your equipment policy. Pulling a rented trailer with an owned truck The club owns a van/truck, and we are pulling a trailer for another club. The liability coverage would come from your club’s automobile policy even if the trailer swayed into the next lane and hit another vehicle. Liability always follows the vehicle pulling the trailer. You should check with the trailer owner to see if they will cover the physical damage coverage on the trailer while you’re using it. If they want YOU to fix the trailer should it become damaged, you can get coverage either through your equipment carrier or your auto carrier for temporary use of a trailer. If the trailer owner is going to continue to cover the trailer while you’re using it, there is nothing you need to do. RC provides a scalable and affordable solution, making it a perfect match for any size regatta or club. Through both the Regatta and Club Management services, administrators are able to process online registrations and payments, verify compliance, export data files and email participants. RC is also the go-to website for coaches and rowers looking to discover an upcoming competition, register for a regatta, find results, or plan the next season. In 2015, RegattaCentral became TRUSTe certified! TRUSTe is recognized globally for privacy auditing and compliance. The certification was the result of an extensive review of RegattaCentral. RegattaCentral continues to work toward improving both the client and user experience. Several updates to the look and feel of the website were introduced in 2015, with several more planned for 2016. Version 3 of the RegattaCentral Rowing API, which helps regattas, clubs, governing bodies, and rowing associations manage and exchange data, was also released in 2015. The web services API is currently being used by regatta timing systems to publish live results to the website and mobile apps. It will be expanded in the future to include modules and subsystems of Control Commission, Rosters, Clubs, Regattas, Onsite Registration & Credentials, Volunteer Management and more.
