With ROTEX HeatCal, you can put together a complete ROTEX heating plant easily and quickly and directly print out an illustrated quote for your customers. In addition, you will get a complete material composition. When you select one of the predefined ROTEX standard versions, the appropriate plant expenditure figures are determined directly. Then, without major effort, you can immediately print out an energy requirement statement in compliance with § 13 of the German Energy Conservation Act (certification scheme). You can work with the ROTEX HeatCal quote software online via the Internet or locally by installing the software on your PC. Please note that in case of parallel use, data exchange between the Internet application and local application is not possible. In this manual, we have exclusively described the Internet version of ROTEX HeatCal. To use the software, you must first register at www.rotex-heatcal.com. Page 4 of 35 R.08/06 1.2 Starting HeatCal HeatCal is a web-based application. This means you need only an Internet browser, e.g. Microsoft Internet Explorer or Netscape Navigator to operate HeatCal. Details on the system requirements are given in chapter 1.3. Fig. 1-1: ROTEX HeatCal immediately after start. 1. Launch your browser and start HeatCal by entering the address www.rotex www.rotexotex-heatcal.com in the browser under . 2. The start page of HeatCal is loaded (your browser window now looks as in Fig. 1-1). 3. If you have already registered at ROTEX for HeatCal, please enter your username and password under . You would have received this information via E-mail after registration at ROTEX. Please note the correct spelling, upper/lower case, special characters etc. 4. If you have not yet registered, please click on <Register now> under and continue as described in chapter 1.2. Did you forget your password? You can ask for your username and password by giving your E-mail address, last name and first name through the <Forgot login details?> link. The information will be sent to you via E-mail without any risk to security. Page 5 of 35 R.08/06 1.3 Registration It is necessary to register at ROTEX to use HeatCal. Fig. 1-2: The Registration form 1. Please enter your information fully – Fields marked with a red * are mandatory fields that must be filled. 2. Confirm your entries with <Send>. You will be automatically forwarded to the ROTEX HeatCal login page. 3. You will receive confirmation of your registration with username, password and activation code (the activation code is only needed for local installation from CD-ROM) via E-mail. Normally, this E-mail is sent within a few minutes. In some cases, it can take a few hours until the confirmation mail reaches you. If you do not receive the confirmation mail, please repeat the registration process. In particular, ensure that you enter your E-mail address correctly. You can choose your own personal password during registration. The username is assigned to you automatically. To enable us to provide you with information, e.g. on updates, we ask you to specify how you work with HeatCal: online via Internet or locally by installing from CD-ROM. Page 6 of 35 R.08/06 1.4 System requirements Operating system: Windows from Version 98SE Web browser: Microsoft Internet Explorer from Version 5.0 Mozilla from Version 1.7 Firefox from Version 1.0 Other software: Adobe Acrobat Reader Screen resolution: Minimum 1024 x 768 pixels To run ROTEX HeatCal, Javascript should be activated in the web browser. If this is not done, proceed as follows: Internet Explorer: In the menu bar, click on >Tools >Internet Options >Security. As zone, select "Internet" and click on "Custom Level". Now scroll to >Scripting >Active Scripting. Click on "Enable" just below "Active Scripting". Reload page after making the change. Mozilla: In the menu bar, click on >Edit >Settings. On the left, click on "Advanced" >Select Script & Plug-Ins and enable and disable JavaScript through "Enable JavaScript for browser". Close the settings window with <OK> . Reload page after making the change. Firefox: In the menu bar, click on "Tools - Settings". On the left, click on "Web Features" and enable and disable JavaScript through "Enable JavaScript". Close the settings window with <OK> . Reload page after making the change. Company networks: You may be unable to install the CD due to security settings or no access rights. In such cases, please contact your system administrator. Page 7 of 35 R.08/06 2 Quick Start Page 8 of 35 R.08/06 2.1 Overview On the Start page, you can access all categories through the navigation bar and on the left page to create a quote. The bottom navigation bar always remains visible when you work with the program. Thus, you can always switch between the individual categories. When changing from one category to another, your work is always saved automatically. It is neither necessary nor possible to save manually. Fig. 2-1: Start screen of ROTEX HeatCal In the navigation bar , you will find the following functions: 1. <Start page> Overview of the calendars (see chapter 2.2) 2. <Create quote> Opens the page where a new quote is created (see chapter 2.3) 3. <Address data> The address database of HeatCal (see chapter 2.4) 4. <Quotes/Orders> Overview of all quotes and orders created (see chapter 2.5) 5. <Settings> Change the basic settings of the program, modify the text blocks, import Datanorm catalogues etc. (see chapter 2.6) 6. <Help> Call this help file with the button 7. <Exit> Exits ROTEX HeatCal. Page 9 of 35 R.08/06 2.2 Start page From the Start page, you can access all ROTEX HeatCal blocks and get a list of quotes that are ready for the follow-up file. Fig. 2-2: Start screen of ROTEX HeatCal 1. Calendar: As soon as a calendar date is entered for a quote or an order, the event is displayed in the calendar list. You can directly call the quote by clicking it. 2. Evaluation of quotes: You get an overview of the quotes you created, displayed here by year. Page 10 of 35 R.08/06 2.3 Creating quotes New quotes are created under this option. All necessary events can be carried out from here. Fig. 2-3: Create quote screen 1 On the left side , from the tree structure, you can select the individual components of the heating system. By clicking the <+> sign, you can expand/collapse the individual folders. A single click selects the product, a double-click accepts it in the quote. 2 If you have selected products with a single click under , the relevant documents of the selected product will appear under (e.g. cut-out picture and photograph). 3 All products that you selected with a double-click under are accepted in the quote and appear in the form of a list under . 4 Under , you can optionally enter all additional relevant data for the quote (e.g. customer address, construction project, calendar etc.). 5 Under , you can display the quote as a PDF file and if needed, print or fax it. HeatCal always saves all changes to the quote automatically. It is neither necessary nor possible to save manually. Page 11 of 35 R.08/06 2.4 Address data Here you can store addresses that are frequently needed. You can directly integrate the address data when creating a new quote. Fig. 2-4: Address data screen 1. After clicking <Address data>, under , you get an overview list with all the address data that you have created. 2. Click on one of these addresses so you can view the complete address data under . 3. You can view a list with all quotes/orders that you sent to these addressees under . Clicking on one of the quotes/orders takes you directly to the corresponding quote. The address data is one of the few functions in ROTEX HeatCal, where you have to explicitly save your changes. Therefore do not forget to press the <Save> button after creating new or changing old address data. Page 12 of 35 R.08/06 2.5 Quotes/Orders Under this menu option, you can call all quotes or orders created by you. Fig. 2-5: Quotes/Orders screen 1. All quotes or orders created by you are displayed in a list under . You can call any quote with a mouse click and directly edit it. 2. Under , you can toggle between quotes and orders. 3. By clicking on , you can search the list of quotes or orders using different search criteria. Fig. 2-6: Search criteria 4. Under , you can copy or delete individual quotes with the Action buttons. Page 13 of 35 R.08/06 2.6 Settings Here you can change the basic settings of the program, create and modify text blocks, import Datanorm catalogues and specify additional items. Fig. 2-7: Settings screen 1. With the tabs under , you can go to different screens and can make various program settings. 2.7 Help When you click on <Help>, the ROTEX HeatCal user manual is loaded. A new browser window opens and the manual is loaded. The help file (user manual) is available as a PDF file. You will need Adobe Acrobat Reader to view the file. 2.8 Exit By clicking on <Exit>, you can close ROTEX HeatCal. The Login page is then displayed automatically. The determined items must be checked and can be changed and supplemented according to the relevant project. Fig. 3-1: Select heat distribution 1. Under , open the Heat distribution area by clicking on the <+> symbol. 2. Double-click to select the desired system. 3. A new window opens. Here you can make all necessary entries for the heat distribution at your premises. 4. To determine the materials for the heat distribution at your premises, specify the relevant number of rooms with an underfloor heating system, the areas with required grid and number of radiators. 5. From the selection menus below, you can specify the rising pipe and cellar pipe and have the materials calculated accordingly. 6. Press the ribution. 7. Press the button to display the hydraulic layout for selected cellar distbuttons to select various insulation systems per storey. 8. Confirm your entries with <OK> or close the window with <Cancel> without applying the entries. 3.2 VA installation systems Page 16 of 35 R.08/06 The material compositions are determined roughly based on experience values. To select VA installation systems, double-click on the entry in the tree structure under . 2. A new window opens. Here you can make all necessary entries for the VA installation systems at your premises. 3. To determine the materials for the VA installation systems at home, enter the relevant consumers by clicking in the selection menu for each floor. You can manually change the number and length of the connection pipe to the consumers. The material calculation/determination is based on a star-shaped distribution of the consumers. 4. From the selection menus below, you can specify the rising pipe and cellar pipe and have the materials calculated accordingly. 5. Page 17 of 35 R.08/06 3.3 Displaying and changing parts lists Complete parts lists are stored for each of the products selected for the quote. These can be changed if needed. Changes to the parts list can be made here. 3. With the button, complete parts lists or individual items in a parts list can be deleted. 4. Select the <Create new entry> function to get a new row. Click on the drop-down field in the Item number column. By scrolling, select any item from the ROTEX catalogue. Click again to include the item in the parts list. 5. You can change the order quantity of the individual components under . 6. Under , you can set individual items and under complete parts lists to Alternative. Products set to Alternative appear in the quote list, but are not calculated. 7. Under , you can also enter a fixed amount for the installation. This is shown in the quote. Page 18 of 35 R.08/06 3.4 Plant expenditure figures (ep-figure) When you create a quote, the plant expenditure figures are automatically computed and displayed for 20 ROTEX standard variants. To calculate the plant expenditure figures, at least the following plant parts must be entered: 1. Heat generator 2. Water storage tank 3. Heat distribution 4. Optional solar system (not strictly needed for the ep-figure calculation) The following ROTEX plant combinations are possible: 1. Heating: Free heating surfaces (e.g. radiators), predominant arrangement in outer area, P-regulator with design proportional area xp = 1 K, 55/45 °C design, central system, horizontal distribution inside the thermal enclosure, lane of pipes indoors, regulated pump, electrically operated condensing boiler (installation in the thermal enclosure) with natural/heating oil. Page 22 of 35 R.08/06 3.5 Plant expenditure figures for individual components If your quote does not correspond to any of the 20 ROTEX standard variants, you can determine an ep-value for individual heat generators. Fig. 3-3: Plant expenditure figures for individual heat generators 1. Under , click on <Standard types> to determine the plant expenditure figures for one of the heat exchangers. 2. A new window opens. You make all necessary entries in this window for the plant expenditure figures. 3. Under , specify the building interface. If the Domestic water supply is to be integrated, enable <Sanicube>. Both the plant expenditure figures and the auxiliary power are calculated. 4. In addition, under , you can display the 20 ROTEX standard variants with a diagram of the ep-values in relation to the building area. Select the required generator and the heat transfer from the drop-down menus. The corresponding diagram is displayed. Page 23 of 35 R.08/06 3.6 Printing an energy certificate Fig. 3-4: Print an energy certificate 1. Under , click on <Energy certificate> to create an energy certificate for the quote. 2. A new window opens. Here you can make all entries necessary for an energy certificate in a form. 3. Default values are entered in the form that can be customised manually in the quote. 4. Changes that result in recalculation of the ep-figure will be automatically imported to the Create quote page. 5. Under , you can print the energy certificate on a connected printer. Click on the <Other included features> tab and specify a <Person in charge of building data>. Otherwise, the energy certificate cannot be gen gene erated rated. Page 24 of 35 R.08/06 3.7 Inserting addresses in quotes In ROTEX HeatCal, you can directly import addresses from the integrated address database to your quote or create new ones. Under , click on the address book to display a list of available addresses. 3. By scrolling through the list, you can select the required address with a mouse click, edit it and import it to the quote. 4. In addition, you can search for addresses through the integrated search function. Under , click in the empty field of the drop-down menu. Enter your search criteria. Search criteria in HeatCal include company name, last name, zip code and place. All addresses containing the element you are searching for are displayed. 5. Under , click on Edit to edit the stored quote address at a later stage. Page 25 of 35 R.08/06 3.8 Printing out quotes Of course you can print out the quotes you have created in ROTEX HeatCal. Fig. 3-5: Print a quote 1. Under , click on the Print button (PDF). 2. A selection list opens, from which you can choose the output type for the quote. 3. A new window opens and your quote is displayed once the data is loaded after a brief period. The quote to print is prepared as a PDF file. Therefore, you need Adobe Acrobat Reader to view and print it. You can customise the layout of the letterhead in the quote to your requirements. To do this, in the navigation bar, choose <Settings> and select the <Letterhead> tab in the screen that is displayed. Page 26 of 35 R.08/06 3.9 Other quote functions Fig. 3: Other functions on the Quotes screen Additional items From the <Additional items> tab under , you can call items that you inserted in the <Datanorm> or <Additional items> tabs through Settings (see navigation bar). The additional items are listed under the assigned goods group or the manufacturer and can be included in the quote with a double-click. Copy quote You can copy an existing quote any time to reuse it for similar or identical plants. To do this, under , click on the <Copy> button. After copying, you will get a confirmation and a note on the quote number under which the copied quote was created. The copied quote can then be displayed directly, so that you can continue working with the copy. Page 27 of 35 R.08/06 Finalise quote Under , you can finalise a quote. By finalising quotes, you complete the quote creation. The finished quote is archived as finalised and can no longer be altered. altered Therefore use the Finalise option only when a quote has been sent to a customer. In this way, you can check the exact content of the quote in HeatCal any time. The quote is now marked with a "Finalised icon" in the quote list under <Quotes/Orders>. Rebate When creating a quote, you can enter a rebate for the quote under . By entering a percentage, all material costs are reduced by the corresponding factor. The Rebate field is not labelled so that if you are creating a quote in the presence of a customer, this option of a rebate does not appear unnecessarily. Calendar Under , you can use the calendar function of HeatCal to avoid having to manually enter dates. Click on <Calendar>. Choose the date you want with the mouse. The calendar then closes automatically. Order number If a quote results in an order, under , you can issue an order number. Then, click on the <Finalise> button. The quote is now moved from the quote list to the order list under <Quotes/Orders>. Quote number When you create a new quote, under , a quote number is automatically entered by ROTEX HeatCal. It can be changed if needed. HeatCal then saves the quote under the number you have specified. Text in quote/item list Page 28 of 35 R.08/06 In the tab bar under , you can insert text blocks or individual text in a quote or item list under the <Text in quote/item list> tab. Click on the <Text in quote/item list> tab. On the right side, you will see a list of available text blocks. A mouse click on the yellow arrow imports the text block to the quote. When you click in the left text field, you can customise the text. You can create your own text blocks under <Customise>. For more details, also see chapter 4.3. Delivery address In the tab bar under , you can enter an additional delivery address other than the quote address under the <Delivery address> tab. Notes In the tab bar under , you can add additional notes to the quote under the <Notes> tab. The notes are meant only for the user and are not printed with the quote. Calculation In the tab bar under , you can check the difference between your purchase price and your sales price under the <Calculation> tab, and thus easily check how profitable the project will be for you. In this tab, you cannot make any changes. Page 29 of 35 R.08/06 4 Customising ROTEX HeatCal Page 30 of 35 R.08/06 4.1 Basic settings in HeatCal Under the Basic settings tab , you can view your registration information, change your company address, define the EnEV manager (for certification) and set the language in HeatCal and the VAT rate. Fig. 4-1: Basic settings screen 1. Under , you will see the registration information and the software version of HeatCal and the date of the data stock. ONLY CD CD-ROM: When working locally (installation from CD-ROM), you must enter the information from the ROTEX confirmation mail here and then click <Activate>. Without this registration, you cannot print quotes. 2. Under , you can enter the VAT rate (current default value 16 %) and set the language for HeatCal. After changing the language, you must restart HeatCal. The selected language becomes available only after restart. 3. Under , define the EnEV Manager for your company. 4. Under , you can set/change your company address. If you have registered online, the fields are already occupied with information from the registration. Page 31 of 35 R.08/06 4.2 Customising letterheads Under the Letterhead tab , you can customise the layout of the letterhead in your quote. Under , define how the sender field should appear in the window envelope. 3. Under , you can also choose a paper type for the first page of the quote. Choose between blank, your company paper and blank with your own logo. You can add your own company logo by clicking <Add>. A dialogue box appears (see Fig. 4-3). Click on <Browse> and choose a logo file from the hard disk. Then click on <Upload> and your logo will be available in HeatCal. Please note that only graphics in JPG, BMP, PNG and GIF format can be included. Page 32 of 35 R.08/06 4.3 Standard texts for quotes A predefined default text is used for printing a quote. You can change this default text under the <Text in quotes/item list> and create new text blocks. The text blocks can then be used in your quote. These will always be inserted at the end of each quote. Fig. 4-4: Text settings in quote screen 1. Under , click on the <Create new entry> button and create your own text. Enable the text blocks for quote and/or item listing by selecting the checkbox under . Do not forget to specify a short name for the text block. This is the only way you can select this text later for your quote. Page 33 of 35 R.08/06 4.4 Reading Datanorm catalogues Under the <Datanorm/Rebates> tab, you can carry out a price maintenance of the ROTEX catalogue and import catalogues from other manufacturers to the database as Datanorm files. These catalogues are then available when you create quotes in the <Additional items> tab. 2. Under , you can adapt the purchase and sales prices of the ROTEX catalogues to your conditions by clicking on the button. The ROTEX catalogue is the basis of HeatCal. Therefore, this catalogue cannot be deleted. You can delete other catalogues anytime by clicking on button. the Page 34 of 35 R.08/06 4.5 Creating additional items Under the <Additional items> tab, you can add entries to ROTEX HeatCal that cannot be added through Datanorm (e.g. services, hourly rates etc.). Once filled, the new entry is then available to you when you create a quote in the <Additional items> tab. Page 35 of 35 R.08/06
