User Manual for Vendor Registration 1 1. Vendor Registration Process Steps: Step 1: Vendors can register for one or more than one Product categories at a time, for doing business with Adani Group. Vendor needs to provide the Vendor contact details and business details. Step 2: The moment Vendor Registration is done successfully, an e-mail is sent to Vendor on the contact person email id containing vendor registration questionnaire form2 link. Step 3: The Adani Group reviews the Registration Form and accepts/rejects the Vendor or the Vendor may be contacted for further interactions & verification before finally approving or rejecting. Step 4: Approved Vendor shall be provided with a link on their registered email id with the temporary user id and password. Vendor will login and create his/her login id. Further details will get communicated from Adani IT Team to Approved Vendor later. 2. Guideline for Supplier Self-Registration: a) Vendor shall be required to fill up Self-Registration Form available at the Adani Group Website i.e. – http://www.adani.com by the following steps: 2 b) Vendor shall require to select the relative business site from the Adani Group Portal. c) Click on the link “Vendor Registration” tab. 3 d) After Clicking on link “Vendor Registration”, Vendor Registration form shall be opened in new tab as shown: e) This display screen is a ‘Supplier Self Registration’ which is divided into 10 subsections: I. Important Note:• Mandatory data is shown with asterisk mark (*) which must be filled to complete the Process under each sub-section. • Vendor registration form once submitted by Vendor, changes on the same will be available only if vendor gets approved by Adani Group, Hence Vendors should fill the data very carefully. 4 Vendor Registration Form 1 Section wise screen shots are pasted as under: Section-I: General Company Information Vendor shall be required to enter the entire relevant organization data in respective field. (E.g. Title, Name of Company etc.). Section-II: Basic Information Vendor will provide the required details as per below section if already associate with the Adani. 5 Section-III: Organizational Details Vendor will provide the details of its Organization as requested below: Section-IV: Tax Details Tax details needs to be provided by Vendor as required below: 6 Section-V: Withholding Tax Accounting Data Vendor will provide Withholding Tax Accounting Data as applicable. Section-X: Data Privacy Statement Click on the check box and submit the Vendor Registration form. Once registration form is submitted, vendor will receive an email on the contact person email id containing the registration questionnaire form 2. Vendor need to provide the relevant and applicable information on the same. 24 Vendor Registration Questionnaire Form 2 Vendor will receive the questionnaire form 2 link on his/her registered contact person email id on successful submission of vendor registration form 1. Vendor can fill up the form and save the same on time to time basis before submitting it to Adani Group. Once questionnaire form 2 gets saved, vendor can open and fill the data as per his/her ease. Based on the Supplier Category /Service Provider Selection from the option of Manufacturer, Authorized Dealer, Trader or Service Provider, Vendor shall be required to provide required set of details accordingly. Section marked with * are the mandatory section where vendor required to provide relevant information. Adani Group will review these information and can return the questionnaire form 2 to responsible vendor in order to provide the missing/required data accordingly. Vendor will provide the asked/required details in questionnaire form 2 and resubmit the form. If vendor gets approved by Adani Group, vendor will take participation in the Sourcing events (RFx, Auction) and if vendor awarded with the Bid event, Vendor will get created and assigned with the backend system. Below are the instruction to fill up questionnaire form 2 on selecting Manufacturer/Authorized Dealer/Trader / Service Provider option in the supplier Information Section. 25 A) Manufacturer 1. Supplier Information* Vendor shall be required to select the Manufacturer from the list. If vendor is manufacturer as well as a service provider. Vendor shall be required to select the “status of Vendor” as applicable and turn over details accordingly. 2. Manufacturing Capabilities Vendor shall be required to provide the manufacturing capabilities of his/her organization (As applicable). 26 3. Equipment Details Vendor shall be required to provide the details of Machineries used for the manufacturing (As applicable). 4. Details of 5 main facilities including manufacturing, storage, R&D and laboratory Vendor shall be required to provide the details of his/her organization main facilities (As applicable). 27 5. Manufacturing Capacity for the item/equipment for which you want to register Vendor shall be required to provide the manufacturing item/product details (As applicable). 6. Statutory Requirements Vendor shall be required to provide the statutory requirement details (As applicable). 28 7. Service Capability Vendor shall be required to provide the service capability details accordingly (As applicable). 8. References/Credentials Vendor shall be required to provide the reference/credentials for the current/previous work execution (As applicable). 29 9. Customer Support Details Vendor shall be required to provide the customer support details of his/her organization (As applicable). 10. Quality System Requirements Vendor shall be required to provide the quality system of his/her organization accordingly (As applicable). 30 11. Process Control Vendor shall be required to provide the details of the control of the processes of his/her organization (As applicable). 12. Control of non-Conformance Vendor shall be required to provide the details for the control of non-conformance issues (As applicable). 31 13. Calibration of measuring & testing equipment’s Vendor shall be required to provide the calibration of measuring & testing equipment’s details (As applicable). 14. System of inspection and testing of finished products and services Vendor shall be required to provide the system inspection and testing of finish product and services details accordingly (As applicable). 32 15. System of recording, attending and monitoring customer complaint and corrective action exits Vendor shall be required to provide the relevant system details for recording, attending and monitoring customer complaints and corrective action exits (As applicable). 16. Hazardous Chemicals Vendor shall be required to provide the details of Hazardous Chemicals (As applicable – if supplying). 33 17. Are you complying - Statutory Compliance such as Vendor shall be required to provide the statutory compliance data (As applicable). 18. E-Business Readiness Vendor shall be required to provide the E-business details of his/her organization (like website, SAP or any other installed ERP system as applicable). 34 19. Environment and Safety Certification Vendor shall be required to provide the relevant data for environment and safety Certification (As applicable). 20. Relationship with Adani Employee Vendor shall be required to provide the relationship with Adani Employee (If applicable). 35 21. Research & Development Vendor shall be required to provide the research and development investment details of his/her organization (As applicable). 22. Other Information Vendor can provide any other data apart from the above sets of information to the Adani Group (If required). 36 23. Attachments List* Vendor shall be required to provide the sets of attachment (As applicable). Below are the list of attachment which is mandatory for the submission of questionnaire form 2. a) Copy of Pan Card b) Copy of Cancelled Cheque c) Balance Sheet d) Copies of major order executed 24. Declaration* Vendor shall be required to accept the declaration and to provide the Authorized Signatory Name and his/her designation in the organization in order to submit the form 2. 37 B) Authorized Dealer Vendor (Authorized dealer) shall be required to fill up the below sets of data only.
