Printer Supplies General Information
Terms and Conditions:
o Payment Terms – NET 30 upon account approval.
o A $25 handling fee will be assessed on all stock orders under $50.
o Depending on manufacturing schedules, we target to ship our stock label & receipt rolls within
24 hours upon receipt of order. Labels that are out of stock will have a lead time.
o Upon receipt of purchase order, Datamax-O’Neil Printer Supplies will send an
acknowledgement all orders via fax or email via contact information provided by D-O's customer.
Custom Blank and/or Pre-Print Jobs
o Custom desktop label orders are subject to a $250 minimum & custom portable orders are
subject to a $500 minimum.
o Custom desktop items are targeted to ship 10-12 working days from proof approval. Custom
portable items are targeted to ship within 15-20 working days upon proof approval. Custom
lead times may extend slightly due to material and/or die configuration. Ship dates are a best
estimate only, Datamax O’Neil Printer Supplies is not responsible for higher than normal
shipping costs due to delays.
o If capacity is available, less than standard lead-time may be available with an additional rush
fee.
o 90-Day Make & Hold and blanket orders must be shipped in case quantity increments and
meet the $1000 minimum order-run requirement. Inventory not shipped by the 91st day of the
90-Day program is subject to daily storage fees.
o Credit cards not accepted for our 90-Day Make & Hold Program.
o Custom orders are subject to an over/under run (%) and considered complete as specified
below:

Custom proof sign-off required for all custom printed jobs. To eliminate additional
artwork/graphic design charges, customer must provide Datamax-O’Neil Printer Supplies with
digital files in .EPS, .TIF, .PDF or .AI formats (request art requirement guide from your Sales
Representative). Initial proofs will be sent to customer within 72 hours from receipt of digital
files.
Custom quote pricing is valid for 30 days from the date of the quotation. Quotations are subject to
change if job specifications change from those originally quoted.
Datamax-O’Neil Printer Supplies retains ownership of all plates and tooling and provides
storage, maintenance and replacement costs associated with dies. Plates & dies will be
destroyed after a 36-month period of inactivity.
Shipment Methods
o Please specify shipment method on all purchase orders. We have a variety of shipment
options available such as UPS, Federal Express, and Bax Global. Some freight carriers may
not have regular pickups scheduled, which may result in delays for shipments requested with
specific carriers. For example, Federal Express requires a pickup to be scheduled early in the
day. Therefore orders that are placed in the afternoon requested to ship via FedEx are not
guaranteed for same day pick up.
o Typically shipments weighing 200 lbs or less will ship via UPS or Federal Express. Larger
shipments may be specified to ship UPS Hundred Weight or truck.
o All prices for both Desktop & Portable F.O.B origination dock: all claims for damage in transit
should be filed with the delivery carrier.

Preferred payment method for truck charges is collect and due upon delivery (charged collect
to customers account)
Specific truck lines may be requested by customer, but please be advised that certain truck
companies may not service all delivery areas. Some truck companies require 24-hour
advance notification prior to pickup.
Shipment methods and export documentation for international freight should be discussed
with your sales representative.
Freight quotes are estimates and subject to change without notice.
Freight charges & handling fees will be prepaid and added to the invoice unless otherwise
specified.
Payment Methods
o All payments must be in U.S. dollars.
o Datamax-O’Neil Printer Supplies accepts MasterCard, Visa and American Express at the time
of order placement, C.O.D, or on account with proper verification and acceptance (No cash
discount for credit card orders).
o Prepayments by wire transfer or check are also payment options for orders you wish to
prepay.
o If paying by credit card, credit card information must be provided at the time the order is
placed. Any payment by credit card after the invoice has been generated from our system will
be charged an additional 3% handling fee.
Order Placement
o In order to assure accuracy of information for quoting and order fulfillment, Datamax-O’Neil
Printer Supplies requires that quote requests and orders be faxed or emailed to your
representative. No verbal orders accepted for any reason. All orders will be acknowledged via
email or fax within 24 hours upon receipt of purchase order. If you do not receive a
confirmation, please call!
o As always, we strongly recommend that materials be tested in the actual application. Many
variables can affect performance of materials even though the application appears to be in
“specification” with the material, adhesive and ribbon combination. Please contact your
representative for samples. Datamax-O’Neil Printer Supplies assumes materials ordered have
been tested and accepted in the end-use environment.
o All will call orders must be scheduled 24 hours in advance.
Returns
o Custom and special order items are non-returnable. Stock products returned due to a
purchasing error are subject to a 25% restocking charge if the product is returned in saleable
condition. No returns will be accepted after 90 days from receipt of order. Request a Return
Merchandise Authorization (RMA) number from your Account Service Representative. Please
be sure to reference the RMA # on returned product to assure efficient processing of any
pending credit. Product returned without RMA # is subject to refusal at our dock.
o Freight charges are non-refundable and customer is responsible for freight charges back to
the factory.
Satisfaction Guarantee
o Your satisfaction is guaranteed. If you are not completely satisfied for any reason, we want to
know. We will make each and every order right for you!

Glossy White Polyester Labels
Thermal Transfer labels are ideal for nameplates or serial identification labels on finished products. Other
applications include rating plates, property identification, and electronic-component marking. Glossy White
Polyester is a first class 2 mil Polyester that is used on the topside of a circuit board where heat exposure is
limited offering excellent solvent and scratch resistance.

Recommended cleaning interval:
Generally every 5-10 rolls under normal conditions. However, more frequent cleanings
may be necessary for more demanding applications or severe environmental conditions.

A two-step process designed to remove adhesive residue and give the thermal printhead, rollers and paper path
a thorough cleaning.
Each step involves inserting a chemically saturated card into the paper path. Step one will remove adhesive
residue. Step two will remove any chemical residue remaining from the Step one card as well as all dirt and
other contaminates from the thermal printhead, rollers and paper path. Sold in carton quantities.
