Issue Description:
(U18) - The intended system should considerably reduce the amount of
overhead usually incurred in organizing meetings where potential
attendees are distributed over many different places and communicate
with each other, for example, via Internet.
How will the system allow for negotiating various meeting requirements
free of any particular user computer? How will the system avoid meeting
conflicts and invited participants who are unaware of the meeting’s
creation?
Decision and Rationale:
Since the DMS will be a web based application, the system will be
accessible from any internet connected location. There will never have to
be and data syncing from a user’s machine to another user’s machine
when negotiating meetings.
As well, an internal notification system will keep track of all meetings the
user has been invited to, meetings that have been rescheduled, and
meetings that have been cancelled. Each time a notification is sent, an
email is sent to the user’s email address to provide a secondary
notification for the user to be alerted to.

Issue Description:
(U19) - The system should reflect as closely as possible the way meetings
are typically managed.
Decision and Rationale:
The system will allow the creator to label attendees as “monitors,” who will
have a timer to keep track of minutes and will be able to take attendance
through a list of names with checkboxes. The meeting interface for all
attendees will include a list of members, a text field to take notes, and
audio and video options for teleconferencing.

Issue Description:
(U20) - The meeting date and location should be as convenient as
possible, and available as early as possible, to all participants.
Decision and Rationale:
The system will arrange meetings dates as specified in 2.2.2 and will allow
the creator to choose if he or she wants to choose a specific location or
allow attendees to propose a location, which will satisfy this requirement.
