Glossary 733 Record centre, off site Storage facility where your less active (semi-active) documents are stored. A record center allows you to preserve your office space for more frequently used documents. Replication Replication is the process of synchronizing the data between a record center and its customers. The EDC Replicator (located at an EDC ActiveFile site) controls the replication requests. The schedule of the requests can be customized from within the program. Once the replication request has been initiated, a program called EDC Requester (located at an EDC ActiveFile site) encrypts and transfers the data to the record center. It will also perform the opposite operation when an answer is received from the record center : it will receive the data and decrypt it. All the replication requests are initiated from the client, the record center will never, under any circumstances, initiate a link with its clients. The communication is done through a TCP/IP link using the Internet. The record center must be running an EDC Replication Server process in order to accept the remote client requests. An EDC Replication Server process does not need to be installed if the record center does not have any customers using EDC ActiveFile or ActiveWeb. Restrictions Conditions you define that prevent the disposal of documents containing the restriction. Restrictions are associated to document types and are used to ensure the conservation of certain documents beyond their normal retention period. Retention period Period for which documents must be conserved for either legal, fiscal or company policy reasons. Retention schedule Collection of document types controlling the disposal of boxes and files. Types define the retention period and the disposal mode of documents. Retention, active Retention period of a document within an organization's storage facility. This period is defined from the time a document is created in the system to the time the document is transferred to semiactive storage at an off site center. Retention, semi-active Retention period of a document within an off site record center. This period is defined from the time a document enters an off site record center to the time the document is disposed of. See also "conservation policy". *Session, suspended After a computer failure, an active session at that time will remain active even if it is not anymore. You should terminate any suspended session after making sure that the session is really inactive. When all your user licenses are used up by suspended sessions (preventing you from having access to EDC), you can use the Access Management program to terminate all suspended sessions.
