EDC RC 5.56 User Manual
- Certain values are obligatory when importing: Activity, MainDeptName, SubDeptName, Volume,
CustBoxNo.
File Table
- Possible values for Activity field at the record center: PreAdd, Out
- Possible values for Activity field at the client: PreAdd, Printed (in-house). If the activity is not
valid, it will default to actPreAdd at both the record center and client sites.
- Possible values for DestType field: NonConfidential, Permanent, Confidential, Sample, Revision,
SendToDepot, None
- Alternate bar code labels may be imported with a field name of 'BarCode'. Both primary and
secondary notes may be imported with field names called 'Notes1' and 'Notes2' respectively.
- With the file table import it is not possible to update existing records, as there is no unique key
in the file table, ie, it is possible to have duplicate CustFileNo and Description values, if the
option "Unique File number" is set to "No" in the Customer Information module.
Import Options
The following options affect which types of operations are allowed by the import, and what
messages appear in the import log. They are designed to protect against some of the dangers of
importing data rather than
*boxmodifyonly: Allows existing boxes in the system to be updated, but prevents the addition of
new records for boxes that are not recognized.
*filemodifyonly: Allows existing files in the system to be updated, but prevents the addition of new
records for files that are not recognized.
*departementmodifiyonly: Prevents the addition of new departments.
*donotupdateexistingrecords: Allows the addition of new records but prevents existing boxes in
the system from being modified.
*skipduplicaterecordwarning: Omits the warning that would otherwise appear in the import error
log when a record is affected twice by the same import.
*skiptruncationwarning: Omits the warning that would otherwise appear in the import error log
when the length of a data string exceeds the length available in the field in the system.
*skipfileboxintegrity: Omits the warning that would otherwise appear in the import error log when
a file has different retention than the box containing it.
*disablestartenddatewarning: Omits the warning that would otherwise appear in the import error
log when the end date for a record is more recent than the start date.
*disablerangewarning: Omits the warning that would otherwise appear in the import error log
when the start of a range is greater than the end of a range.
*allowstatechange: Allows the import to affect the state of the box, for example between PRE
ADD, IN, and OUT.
*RejectOnDuplicateAltLabel: Causes an attempt to import a record with an alternate label that
already exists in the system to reject the update or addition of the new box rather than adding the
box (without the alternate label) but including an error message and skipping the assignment of the
barcode.
*SkipVaultValidation: With this option, it is possible to import items for tape-only accounts into
non-vault locations.
*ReplaceNotesInsteadOfAppend: Causes notes fields to be overwritten by the import rather than
appending imported notes to the existing notes for the box or file.
