N E W C A L L S A N D P R O S P E C T S The buttons across the top of the window allow you to perform the various functions available to your Prospects data. Some of these functions are also available in the main Prevail window, while others you will only see in the ‘Open Prospects’ window. To close the ‘Open Prospects’ window, click the ‘Done’ button or the X in the upper right hand corner. Adding a Prospect To add a new call from the ‘Open Prospects’ window, click the ‘New Call’ button. For information on adding a new call, please see the previous section titled ‘Entering a New Call’. Editing a Prospect If you need to change a prospect’s information, double-click the prospect, or select the prospect and click the ‘Edit’ button. The ‘New Prospect’ window will appear. Change the desired information and click the ‘Done’ button to save the changes. If you do not want to save the changes you have made, click the ‘Cancel’ button. Deleting a Prospect Deleting a prospect is generally not advised, unless you have made a mistake on a prospect and would like to add the information again. When you delete a prospect, the prospect is deleted forever with no way to retrieve it. To delete a prospect, select the prospect and click the ‘Delete’ button. You will be asked to confirm the deletion. Click the ‘Yes’ button to delete the prospect permanently, or click the ‘No’ button to keep the prospect. It is recommended to use ‘Close’ rather than deleting a prospect. Please see the section below titled ‘Closing a Prospect’. Merging Forms and Letters A new feature to Prevail 3.9 is the ability to merge documents with prospects. As you learned above, prospects have their own document history like a regular client. To merge a document with a prospect, select the prospect and click the ‘Forms’ button on the ‘Open Prospects’ window. If you are viewing a prospect’s information, you can merge a document by clicking on the ‘Document History’ tab, and clicking the ‘Forms’ button. Using both methods, when you click the ‘Forms’ button, a drop-down menu will appear. Select either ‘Letters’ or ‘Forms’ depending on which type of document you want to merge. If merging a form, select the form and click the ‘OK’ button to start the merge. If merging a letter, select the letter, click the ‘OK’ button, fill in the document’s information, and click the ‘Done’ button. 95
