and all your existing data will be converted to the 16 character format. Once you do this, you cannot
convert back to the 8 character format unless you restore from a backup that was made prior to
switching to the 16 character format.
If you convert to the 16 character format this change will also increase the number of characters you
can use for Vendor ID's in the General Ledger/Accounts Payable part of the program.
19.19 Convert to Unlimited Rate Schedules
Select this option to configure the program so you can create an unlimited number of billing rate
schedules (instead of the default maximum of 90). This method is preferred even if you have not used
the initial 90 because it make editing and looking up your rate schedules easier.
19.20 Convert to 3 decimal places for cost rates
Perform this function if you need to be able to assign cost rates with more than 2 decimal places (for
example, .125 instead of just .12).
19.21 Reconstruct Account Balances
This function reconstructs the entire account history for every client and matter, performing the
following functions:
1. Makes sure that all payments and credits are properly applied against the client's bills;
2. Removes all reversed transactions and their reversing entries (type DR);
It is normally not necessary to perform this function, but if it appears that a client's account balance is
not correct, that the addition on a bill is incorrect, or the file reflects a credit balance that should not be
there, perform this function. If the problem only affects a single client or matter, you can perform this
function for that file only by going to the account status screen for that client or matter and clicking on
the R button.
This function does not change the GL distributions for any transactions that have already been entered.
If you want to perform this function for all files, you must first enter the code SUSAN.
.
19.22 Convert Retainer to Trust
The Convert Retainer to Trust function either converts all retainer account transactions to trust
account transactions, or converts all trust account transactions to retainer account transactions. This
feature is designed for the situtation where, for example, you have entered receipts from clients as
trust receipts, but really intended to record them as retainer receipts. Only perform this function if
you are really certain you want to do so. If, for example, you choose to convert trust to retainer, the
program will read through the entire AR transaction file and convert all TR transactions to RR
transactions, and all TD transactions to RD transactions. This will have the effect of transferring all
current balances in your clients' trust accounts to their retainer accounts.
Instead of doing this on a global basis, you can perform this function for a single client or matter. After
selecting which procedure you want (convert Retainer to Trust or Trust to Retainer), a dialog will pop
up where you can select a single client or matter. Leave this blank only if you want to perform the
function on a global basis.
